Which LED screen for a conference room and hotel

For a conference room, hotel ballroom or lobby we choose FOS ICON 2.6: the finest pitch in our range (2.6 mm), 800 nits of brightness, indoor use only. The cabinets measure 50 × 50 cm, so you can fit the screen size to the wall in 0.5 m steps.

There is one condition: viewers sit no closer than 3 m to the screen, because that is the distance the manufacturer gives for ICON 2.6. True Full HD (1920 × 1080 px) requires a 5 × 3 m wall. We sell the complete set with installation and service, and you can price your own size in the LED configurator.

Choosing the model: viewing distance, light and interior

  • Viewing distance determines the pitch. The pitch in millimetres roughly equals the minimum viewing distance in metres: the manufacturer recommends from 3 m for ICON 2.6 and from 4 m for ICON 3.9 IP (how to choose the pitch). When the audience sits further than 5 m away, a set on ICON 3.9 IP comes out cheaper, because the cabinet itself costs less.
  • 800 nits is enough for a room with normal lighting, with no need to darken it. With large windows facing the screen, we consider ICON 2.9 Hybrid: 4,000 nits, indoor mode up to 1,000 nits (price on request).
  • Indoor use and viewing angle. ICON 2.6 is an indoor LED screen (−20 to +40 °C, humidity 10–90% non-condensing) with a 160° / 140° viewing angle and 5000:1 contrast.

The other models in the range are described on the FOS ICON LED screens page. Product cards: ICON 2.6, ICON 2.9 Hybrid IP65, ICON 3.9 IP.

Size, resolution and complete-set price: Full HD means 5 × 3 m

A 50 × 50 cm cabinet has 192 × 192 pixels, so every extra 0.5 m adds 192 pixels. A smaller screen has fewer pixels, but the 2.6 mm pitch stays the same. Three sizes from the configurator, with the price of the complete set:

The 3 × 2 m set (105,298 PLN net) consists of:

  • Screen: 76,064 PLN. 24 cabinets plus 8 spares (topped up to full cases of 8).
  • Structure: 13,125 PLN. FOS stands with a base and stabilisers in the configurator variant; we select the final structure after the site survey.
  • Power: 1,032 PLN. A CEE 32 A distribution box with 6 × 16 A circuits.
  • Signal: 8,361 PLN. NovaStar VX600 Pro processor.
  • Flight cases: 6,716 PLN. Four flight cases of 8 cabinets each; you buy them once.
What the set does not include
The site survey (600 PLN net), installation and commissioning (from 3,800 PLN net), data cabling, counterweights for the stands, delivery and training. Net prices from the VEX catalogue, 13 October 2026, indicative; the price breakdown is explained in the guide How much does an LED screen cost?.

On a 5 × 3 m screen Full HD fits completely, and a single VX600 Pro processor handles it. Full 4K (3840 × 2160 px) on a 2.6 mm pitch means a 10 × 6 m wall, i.e. 240 cabinets: the scale of a hall, not a meeting room.

LED screen, LCD video wall or projector in a conference room

Three solutions compared on the same criteria we check in the project:

When viewers sit closer than 3 m and the screen is small, an LCD display is a better choice than a 2.6 mm LED screen. We will tell you so plainly before quoting.

Structure, power and control in the room

The cabinet measures 500 × 500 × 83 mm and weighs 8 kg, so the cabinets alone weigh 32 kg per m². We match the structure to the room:

  • FOS stands with ballast (LWS-2m, LWS-3m, LWS-4m): the screen stands on the floor. A free-standing stack of cabinets is unstable, so it always stands on a structure with a counterweight. We select the structure and ballast after the site survey.
  • Hanging on the Icon Hanging Beam PRO and ICON Led Clamp clamps from rigging points in the room or a truss; the FOS manual allows a maximum of 20 cabinets in a vertical column.
  • Permanent wall or ceiling mounting is designed after the site survey: the cabinet needs about 15 cm of free space from the wall for cooling, and we check the load capacity of the wall or ceiling before ordering.
  • Multi-purpose and banquet rooms: you can pack a screen on stands into the wheeled flight cases and set it up in another room; we can also join the cabinets at angles from −5° to +5° to form a curve.

We calculate power for maximum load: 450 W per m², i.e. 6.75 kW for a 5 × 3 m screen. We agree the circuits and earthing with your electrician during the site survey.

The picture goes from a laptop, conference system or media player to the NovaStar VX600 Pro processor (HDMI 2.0, 3G-SDI, USB 3.0), and from there via Ethernet cable to the cabinets (up to 120 m). We plan sound reinforcement, microphones and room control in one project: conference systems, AV for hotels.

Service and support in Warsaw and across Poland

Service is built into the design: the cabinet opens from the front, and the power supply, receiving card and HUB card form one replaceable “power box”. We replace a single module without dismantling the screen, and spare cabinets are included in the set.

The manufacturer gives a 2-year (24-month) warranty and recommends an inspection at least once a year. After installation we offer support packages: Standard, Priority and Managed. We install screens in Warsaw and across Poland (LED screen installation), and parts and repairs are covered on the LED screen service page.

Frequently asked questions about LED screens for conference rooms

Which LED screen should I choose for a conference room?
When viewers sit 3 m or more from the screen, we choose FOS ICON 2.6: 2.6 mm pitch, 800 nits, indoor operation. When the audience sits further than 5 m away, a set on ICON 3.9 IP comes out cheaper. You fit the size to the wall in 0.5 m steps, and the configurator picks the model from the viewing distance you enter.
From what distance is an ICON 2.6 LED screen viewed?
The manufacturer recommends a distance from 3 m. In practice the pitch in millimetres equals the minimum viewing distance in metres, so 2.6 mm means about 3 m. From closer up, individual pixels are visible, which is why an LCD display works better at a boardroom table or reception desk.
How big does an LED screen need to be for Full HD?
Full HD (1920 × 1080 px) on ICON 2.6 requires a 5 × 3 m wall: 60 cabinets, 15 m², 1920 × 1152 px. A 3 × 2 m screen has 1152 × 768 px. Full 4K already means a 10 × 6 m wall, i.e. 240 cabinets.
LED screen or projector in a conference room?
An LED screen is readable without darkening the room (800 nits), forms one surface without bezels and can be built in any size in 0.5 m steps. A projector makes sense when the room can be darkened and the picture is small. We make the decision together after the site survey.
How much does an LED screen for a conference room cost?
A 3 × 2 m (6 m²) set on ICON 2.6 costs approx. 105,000 PLN net, 4 × 2.5 m approx. 154,000 PLN, and Full HD 5 × 3 m approx. 200,000 PLN net: cabinets incl. spares, structure, power, NovaStar processor and flight cases. The site survey costs 600 PLN net, and installation and commissioning start from 3,800 PLN net.
Do you install and service LED screens in Warsaw?
Yes, in Warsaw and across Poland. Installation with calibration starts from 3,800 PLN net, and the 600 PLN net site survey is credited towards the project. Modules are replaced from the front without dismantling the screen, the manufacturer gives a 2-year (24-month) warranty, and after installation we offer Standard, Priority and Managed support packages.
